ID Card Printing Policy

1. Purpose & Commitment

SecureID Print Ltd is committed to responsible and lawful ID card production. Our goal is to support businesses, organisations, educational institutions, and authorised individuals with secure and reliable ID card services, while upholding all relevant UK laws and industry standards.

This policy explains the types of ID cards we can print, the verification and permissions required, and our compliance commitments.

2. General Policy & Eligibility

• We provide ID card printing only to legitimate businesses, organisations, educational institutions, charities, and authorised individuals.
• All orders are subject to verification of ownership, authority, or authorisation. We may request official documentation to confirm eligibility.
• We reserve the right to refuse any order if adequate proof of authority or legitimacy is not provided.

3. Company & Organisation ID Cards

• ID cards for employees, contractors, or members will only be printed with proof of company ownership or written authorisation from a senior representative (such as a director, manager, or HR officer).
• For private nurseries, schools, and colleges, explicit permission from an authorised official (e.g., owner, headteacher, or administrator) is required.
• Orders placed by unauthorised individuals or those unable to provide sufficient evidence of authority will be declined.

4. Use of Logos, Branding & Copyrighted Material

• Logos, trademarks, and copyrighted materials will only be printed if you are the rights holder or you provide written permission from the rights holder/company.
• We will not print company, nursery, school, or other organisation logos without explicit authorisation. This includes logos of private businesses, charities, and public sector bodies.
• All copyright and intellectual property laws are strictly observed. Any unauthorised or fraudulent use will be reported and refused.

5. NHS and Restricted Organisations

• We do not print NHS staff ID cards, NHS logos, or any NHS-branded ID cards, except with direct written authorisation from the NHS or an officially appointed NHS representative. This policy is non-negotiable and strictly enforced by law.
• We cannot print government-issued identification (such as national ID cards, driving licences, or birth certificates) under any circumstances.

6. Educational & Childcare Settings

• For schools, colleges, and nurseries, ID cards will only be produced with formal authorisation from the institution's owner, headteacher, principal, or a designated senior official.
• We may request documentation or written confirmation on official letterhead or from an institutional email address.

7. Carer & Care Organisation ID Cards

• Carer ID cards will only be produced with written authorisation from the registered owner, manager, or official representative of the care home or organisation.
• Authorisation may be provided via email or official company communication.

8. Restricted & Prohibited Card Types

For legal and ethical reasons, we do not print:

• Any government-issued identification (e.g., national ID cards, passports, driving licences, residence permits).
• Birth, death, or marriage certificates.
• Police, fire, ambulance, or other emergency services ID cards.
• Any ID cards designed to impersonate a government, NHS, law enforcement, or official document.
• Fake or novelty ID cards that could be used for deception.

9. Verification, Compliance & Order Review

• All orders are reviewed for authenticity and compliance with this policy.
• We may require supporting documents, written permissions, or further information to process your order.
• If your order does not comply, we will notify you and request a revised design or additional documentation.
• Orders containing prohibited or unauthorised content will be rejected. No work will be carried out until all requirements are satisfied.
• All decisions are final. In case of doubt, we reserve the right to refuse any print request without reason.

10. Data Protection & Confidentiality

• All customer data, including names, photos, and authorisation documents, are handled in accordance with our Privacy Policy and the UK GDPR.
• Personal and sensitive data is only used to fulfil your order and will be securely deleted when no longer required.

11. Order Rejections & Revisions

• If your order includes prohibited content or does not meet this policy, we will inform you and give you the opportunity to submit a revised design or correct documentation.
• We are not responsible for delays resulting from insufficient or missing authorisation.
